What happens when everyone calls the same thing something different?

What happens when everyone calls the same thing something different?

The answer

(if you don't read anything else, read this)

When we started the project, the problem seemed clear: build a marketplace to move excess inventory. That meant understanding how they worked internally, customising our tool to fit their needs, and designing a dashboard around inventory data. Straightforward enough.

But when we started talking to the people actually using it: across departments, across countries, across factories… something else came up. The same thing had different names depending on who you asked. What one team called X, another called Y. It sounds like a small thing, until you see the spreadsheets.

Suddenly the problem was how to help them agree on what things were called before anyone could build anything on top of it. And then the structure started to make sense.

Context

Signify (Philips Lighting) partnered with Collabwith to build a white-label B2B marketplace connecting its factories worldwide. The goal: give stock and excess inventory a way out, through a shared platform that worked across departments and countries.

What I did

Discovery
  • Conducted process audits and interviews with stakeholders from factories around the world.

  • Identified the terminology clashes — the same concept had different names depending on the department or location.

Taxonomy
  • Consolidated the vocabulary into shared terms that every team validated.

Design and content
  • Defined user flows and designed wireframes and mockups for the dashboard.

  • Wrote all product content based on the agreed taxonomy.

  • Ran user testing sessions across countries

Deliverables

  • Unified taxonomy

  • User flows

  • Wireframes, mockups, and documentation

  • Product content

  • User testing

Impact

The platform facilitated the sale of 4 million excess items within 6 months of launch.
